We respect your right to privacy and are committed to maintaining it. We only collect, store and process your personal information in accordance with the relevant laws and regulations.

How do we collect information?


We may collect personal information either on paper forms or electronically:


  • when you buy or enquire about our products and services
  • when you talk to us on the phone or in our venue
  • from emails
  • when you use our website
  • in customer surveys
  • when you use our venue
  • if you take part in competitions or promotions


What type of information is collected from you?


We collect:


  • Personal – name, address, email, date of birth, telephone
  • Qualifications – for Service Providers we require copies of insurances and certificates
  • Product or service – details about the products or services you have used or bought from us
  • Financial – for example bank address, sort code and account number. If you buy something from us using a card, your card information is not held by us. It is collected by our third-party payment processors. They specialise in the secure online capture and processing of credit/debit card transactions.


  • Image – if you become a member your photograph may be taken electronically to allow our staff to easily verify your membership.

  • A CCTV system is used across our facilities which may capture your image. CCTV is used to provide security and protect both our members and visitors at the Leisure Bowl. CCTV will only be viewed when necessary (for example, to detect or prevent crime) and footage is stored for a set period of time, after which it is recorded over. Wasp Leisure complies with the CCTV Code of Practice and we put up notices so you know when CCTV is used. 


  • Images may also be taken and used for marketing purposes, with your consent.
  • Health and additional support information – if you (or your child) have medical information or additional support needs that is relevant to disclose to us to ensure your/their safety and best possible experience. This includes any health information disclosed or discovered through our gym induction and swimming lesson programme.
  • Usage – information about how you use our products and services
  • Preferences and consents – this includes information such as how you would prefer us to contact you, what your fitness aims are, whether you wish to receive marketing information from us, or confirmation that you understand risks associated with certain activities such as using the gym.


How this information is used


Data Protection law says that we can use personal data only if we have a proper reason to do so. The law says we must have one or more of these reasons:


  • To fulfil a contract we have with you
  • When it's our legal duty
  • When it's in our legitimate interest
  • When you consent to it.


A legitimate interest is when we have a legitimate business or commercial reason to use your information. But even then, it must not unfairly go against what is right and best for you. If we rely on our legitimate interest, we will tell you what that is.



Below is a list of all the ways that we may use your personal data, and which of the reasons we rely on to do so. Our legitimate interests are also below.

We use this information to ensure we meet obligations arising from any contract you have entered into, to provide you with the best experience possible and to improve this experience over time.


We may use your information to:


  • Process your membership or bookings 
  • Carry out our obligations arising from any contracts entered into such as processing payments
  • Process your details to take payments and/or process invoices. 
  • Provide good customer service by ensuring your preferences and health or additional support needs are considered, answering any enquiries or comments, ensuring you understand any risks associated with your activity and that you are kept informed of operational updates or changes to our services (such as venue closures or cancelled swimming lessons or gym appointments). 
  • Provide you with specific marketing information (based on your choices) such as information about new services or products or offers. This is only applicable where marketing consent is requested. Where it is not requested customers will not be sent any marketing information. 
  • Utilise images/videos in marketing materials only where consent has been given.
  • Improve our products and services by seeking your views on the services we provide or reviewing information about usage. 
  • Ensure the security of our staff and customers. 
  • Record accidents in line with our legal obligations.

We will then only continue to send you important operational information such as class cancellations or venue closure notifications which may affect you.


Your Information


How long we keep your personal information


We are legally required to hold some types of information for certain periods of time. We set retention periods for all types of personal data and review data accordingly. For example we will hold:


  • financial data for 7 years
  • accident data for 3 years
  • Gym consent forms and any corresponding health information as long as you are a member
  • Bowling Membership forms as long as you are a member
  • Swimming Lesson Registration one year after leaving lessons
  • membership contracts, direct debit mandates for 1 year after leaving
  • Information from enquiries or complaints/comments indefinitely.


·         Who Can See It?


  • Who has access to your information?

  • Our staff with access to our secure electronic systems will be able to see and modify your data. Our staff and service providers will be able to see your electronic and paper-based data to allow them to provide your service.

  • There may be instances where we are under duty to transfer your personal information to a third party, for example police, health professionals or lawyers. This may be to comply with a legal obligation or to enforce or apply our terms of use to protect the rights, property or safety of our staff and customers. We will ensure that your privacy rights continue to be protected.

  • We work with Central Cash Registers who provide our till software and point of sale and registration system.  We work in association with Wasp Services who administer our web hosting and corporate membership system.

Keeping Your Information Safe


  • You have the right to ask us for a copy of the information we hold about you. You can do this using a Subject Access Request form. Security precautions are in place to protect the loss, misuse or alteration of your information.


16 or under


  • We will always protect the privacy of children aged 16 or under. For our swimming lesson programmes only a parent/ guardian of children aged under 16 can provide us with personal information and will be our point of contact.

  • Any health data you supply for under 16’s in our swimming lesson programmes will be held in a secure office which can be accessed by our swimming lesson co-ordinator and coaches working on our behalf. This is to ensure our coached have the relevant information to hand when providing a service to under 16’s.


Subject Access Requests


The accuracy of your information is important to us. Requests for personal information are known as 'subject access requests' and can be made by supplying the following information:


  • submit your request in writing
  • provide evidence of proof of identity
  • provide us with appropriate information about what you require


Upon receipt of your request, we will respond within 40 calendar days. You may be asked to pay a fee and we will let you know in advance if this is the case.  We will endeavour to respond within one month of the receipt of your request.
